In addition to the calendar, which gives you an overview of all your appointments, you also have a timetable. The purpose of this timetable is to set and manage your availability, which has the following advantages:

  • Organize your time slots (your schedule)

  • Communicate to your colleagues and/or secretary when you are available to book appointments

  • Define when patients can book appointments online

Create a time slot

  1. Go to your Timetable (this link only works if you are already logged into your Rosa account).

  2. Click on the day and time you wish to insert a time slot and follow the steps :

    • Select the right calendar and adjust the start and end times if necessary.

    • If your time slot repeats regularly, use the button to “Repeat this slot”. Decide how often and on which days you want to repeat the time slot, as well as the possible end date.

    • Finally, you can indicate at this stage if it is a "Last Minute Booking". This means that the appointments in this time slot will only be available for online booking at a specific time.

      In this example: You define a time slot for every Monday (from 8.30am to 10am, starting 12/09/2022). Based on the above settings, patients will only be able to book an appointment in this time slot 24 hours in advance. This means that appointments in this time slot can only be booked on Sundays starting at 8.30am.

  3. Decide if you are available for office appointments or home visits. Then select the reasons for appointments that you usually use during that time slot.

  4. You can customize the time slot by giving it a specific name and color.
    In this step, you can also define your appointments to be grouped. This means that a new online appointment can only be made just before or after an existing appointment.

  5. In the last step, check in the review if all data are correct and click on “Confirm” to add the time slot to your schedule.

Edit or delete a time slot


Don't worry, you can always change a time slot by clicking on it. Don't forget to click on "Update" if you make any changes!

Would you prefer to delete a time slot completely? Then move your mouse over the top right corner of the time slot. A trash can will appear to allow you to delete the time slot.

The time slots you add to your timetable will also be displayed in your calendar.
